Changes effective January 13, 2014, recent enhancements and other important reminders

Customer Guides Summary of Changes

Customer Guides are documents that form part of your Agreement with Canada Post. No other substantial changes to these documents were made other than those required to implement the changes noted in the respective Overview of Changes below. Changes to the 2014 Customer Guides include:

  • A highlights page indicating where changes have been made.
  • Any changes required to implement the approved 2014 service changes.
  • Clarification throughout each guide to improve understanding.

Mail Preparation and Presortation Guides and Postal Standards Guides Changes

Mail Preparation and Presortation Guides are documents that form part of your Agreement with Canada Post. On November 15, 2013, Canada Post released the following updated Guides which came into effect on January 13, 2014.

Transaction Mail Services

On December 11, 2013, Canada Post announced a Five-point Action Plan that will change how it delivers and prices postal services to meet Canadians’ emerging and future needs. The plan includes a new approach to Lettermail pricing, applicable to Lettermail, Incentive Lettermail, Registered Mail, and U.S.A. International Letter-post, which will come into effect on March 31, 2014, subject to the regulatory process.

LettermailTM

Effective January 13, 2014, for a limited time only, Canada Post is accepting all standard lettermail items weighing up to 30 g and mailed within Canada at a reduced rate of $0.63, subject to the terms of this Offer. By participating in this Offer, you agree to the following: Canada Post has the right to limit quantities and can terminate this Offer at any time.

Other Lettermail will remain at 2013 levels until March 31, 2014.

NEW JANUARY 13, 2014 – Clarification to Existing Surcharges

The Details on Surcharges and Adjustments document posted at canadapost.ca/surcharges has been updated to align with current surcharge practices. The updates also include several new invoice descriptions to provide clear and relevant explanations of the mailing issue. Refer to Tables 4 and 5 for details.

NEW JANUARY 13, 2014 –Surcharge on Non-transmitted Orders

Effective January 13, 2014, a $45.00 surcharge may be applied to mailings that are deposited with non-transmitted Orders. Refer to section 3.4.2 Account Administration Fees of the Paying for Your Mailing chapter of the Customer Guide and Table 6 of the Details on Surcharges and Adjustments document posted at canadapost.ca/surcharges.

NEW JANUARY 13, 2014 – Changes to Machineable Mail specifications

There is a new and more flexible Machineable Mail window envelope size, for use with both the destination and return address. Refer to the Important Updates section of the Postal Standards Guides at canadapost.ca/postalstandards.

REMINDER – Increase in maximum thickness for Dimensional Addressed Admail

Great news for Dimensional Addressed Admail customers! Read more about the maximum allowable thickness for Dimensional Addressed Admail which changed by 10 mm (1 cm)

REMINDER – Loyalty Card Program Mailings Now Accepted as Addressed Admail

Now you can take advantage of the engaging “touch-and-feel” powers of Direct Mail to connect with your customers at every stage of the buying cycle! Loyalty program cards and related communications - such as welcome packages and information about program changes and membership rewards - now qualify as Addressed Admail.

Please note that credit and debit cards — with or without loyalty points — do not qualify as Addressed Admail and must continue to be sent via Lettermail.

The Addressed Admail Customer Guide (sections 1.2.2 and 1.2.3) has been updated to reflect these changes.

NEW JANUARY 13, 2014 – Enhancement to Undeliverable Publications Mail Report

As a result of customer feedback, the undeliverable Publications Mail (uPM) report (both .csv and .pdf versions) has been modified to improve viewing, sorting and filtering capabilities. The modification includes separating the Company Name field (when applicable) and the addressee Last Name field, as identified on the address label, in two separate columns instead of one.

NEW JANUARY 13, 2014 – Clarification of Publications Mail requirements regarding sexually explicit content

Section 2.1.4 of the Publications Mail Customer Guide has been updated to clarify that Publications Mail containing sexually explicit content being sent under a solicited subscription must be mailed in opaque wrapping. If the publication is unsolicited, the item must also contain the words “Adult Material” or similar wording visible on the outside of the opaque wrapping.

Unaddressed Admail Price Changes
There were price increases to Unaddressed Admail™ effective January 13, 2014. For details refer to the 2014 Unaddressed Admail Price Sheet. Only the 2014 Price Sheet for Unaddressed Admail. NEW JANUARY 13, 2014 – Simplified price structure and Mail Preparation for Unaddressed Admail

It is now easier and faster to calculate your price for Unaddressed Admail mailings – simply choose the size, weight and options.

The simplified price structure reflects:

  • No Premium fee for Business Points of Call and product Samples
  • Flat fee for items Over 50 g up to 100 g (similar structure to Up to 50 g)
  • Flat per-item Transportation fee (no more complicated formulas)
  • Flat per-item fee for Specified Delivery Start Date option (Standard items only – this option is available for Oversize items at no additional charge)
  • Elimination of Seasonality pricing for consistent pricing all year
  • Elimination of the Automation Incentive

Mail preparation for Unaddressed Admail has been simplified:

  • No longer required to produce a Distribution Plan
  • Maximum bundle height increased from100 mm (4 in.) to 152.4 (6 in.)
  • Single strapping (mechanically-applied) now extended to Oversize items
  • No minimum weight requirements for brick-piled mail on pallets
