Terms and Conditions
These Terms and Condition affect your legal rights and responsibilities. Please read them carefully. These Terms and Conditions, as amended from time to time by us, govern your access to, and use of, the epost Service. If you access and use the Service you accept and agree to be bound by and comply with these terms and conditions. If you do not accept the Terms and Conditions, you are not entitled to use the Service.
By using the Service, you agree to these Terms and Conditions
You agree to use the Service in accordance with these Terms and Conditions and any policies as communicated to you from time to time by us, and all applicable laws. You agree not to use the Service for any illegal or improper activities. Without limiting the foregoing, you agree not to disturb the normal operation of the Service and to use the Service only in a responsible manner. You agree not to use the Service in a manner that harasses or may harass other parties or that disrupts, undermines, corrupts or in any way threatens the Service or infringes its integrity, or that is likely or has the potential to have any of those effects.
Your Responsibility for Accuracy, Confidentiality, Privacy, and Security
In order to use the Service you will establish your Username, Password, Authentication Question and Authentication Answer. We are committed to maintaining the security of your information, and you play an important role in helping us meet this obligation. You will need to share your Username if you want to receive mail from other epost Service users. If you call our Customer Service Department we will also ask for your Authentication Answer to verify your identity. And if you call to report that you have forgotten your password, we may also ask for your Username to help you reset your password. But otherwise, never reveal your Username, Password or Authentication Question or Answer to anyone.
We recommend that you do not keep written records of this information, but if you decide to keep such records, you should keep them separate from each other. Upon learning that your Password or Authentication Answer has been disclosed or obtained by anyone else, or may be known by anyone else, or that unauthorized use of your Username and Password may be occurring you must change your Username, Password, Authentication Question and Authentication Answer to re-establish your confidentiality and privacy. We will endeavor to assist you if you have experienced unauthorized access to your epost mailbox.
If you change your Username please remember to notify your Mailers people in order to continue to receive mail.
Please remember to notify us as soon as possible if anything changes, particularly your physical mailing address. Remember, to update your information as you can review and change your information at any time from within your epost mailbox.
Please remember, regular Internet e-mail is not secure. Messages you send to us from within the epost Service (using the customer support or feedback features) are protected by our security measures. Any personal information you send to us by Internet e-mail is not protected by those measures. Without limiting the disclaimers of liability set out in these Terms and Conditions, we and the Canada Post Parties will not be responsible for any damages you may incur if you communicate confidential information to us over the Internet or by regular e-mail, or if we communicate such information to you, at your request.

(Re)-directing Your Mail to your epost mailbox(Subscribing)
You may choose the Mailers from which you wish to receive Mailpieces and the Service will facilitate your subscription request to the Mailer to have your mail (re)-directed to your epost mailbox. You will need to provide the Mailer with sufficient information to authenticate that you are entitled to receive in your epost mailbox the Mailpieces you are requesting, and epost may provide to the Mailer your personal information (as recorded by you) to facilitate your request.
You may also use the Service to facilitate a request to a Mailer to remove a subscription to receive Mailpieces at any time. Note, however, that we and the Canada Post Parties assume no responsibility for any actions taken (or not taken) by you, the Mailer, or any other party with respect to any subscription or Mailpiece.
If your name, Mailer account number (if applicable) or physical address changes, you must update your epost mailbox profile to reflect any such change. It is also your responsibility to inform any Mailers of any changes to information needed to facilitate transactions, and to provide proper notice of cancellation of a subscription and discontinued use of your epost mailbox to the relevant Mailer and any relevant third party and to provide the Mailer with the new address for your mail.
We may (but are under no obligation to) access your epost mailbox to make changes to your subscription information pertaining to one of your Mailers, or delete that subscription, if requested to do so by the Mailer, or by you, and you hereby consent to us taking such actions.
Any disputes between you and any party, including, without limitation, any Mailer, are to be resolved solely between you and that party.
A Mailer may, at its discretion, choose to send you a particular piece of mail or type of mail through physical channels instead of or in addition to electronic channels.
In the event that you cancel your use of the Service we may (but will not be obligated to) delete all relevant Mailpieces from our servers, and we may inform your Mailers that your epost mailbox is no longer in service, and you hereby consent to us taking such actions.
Your Authorization to us
The use of your Username, Password or Authentication Answer by you, or by any person with or without your knowledge or consent, is legally binding and makes you responsible to the same extent and effect as if you had given signed, written authorization to us. You authorize us to accept, without any further verification, and you agree to be responsible for, all activities with respect to your epost mailbox when conducted using your Username and Password. For a business epost mailbox for a commercial or other organization, this authority is granted by the individual registering for epost on behalf of the organization. By registering for epost, that individual binds the organization to these Terms and Conditions and certifies that he or she has the authority to do so.
You agree to indemnify and hold us and the Canada Post Parties harmless from any claim or demand, including reasonable legal fees, made by any third party due to or arising out of your breach of these Terms and Conditions, including without limitation your violation of any law or the rights of a third party.
Your Personal Information
From time to time we will send to you certain Mailpieces pertaining to your use of the Service, special offers or promotions, Terms and Conditions or other information relating to the Service or Mailers, and you hereby consent to receive such Mailpieces. We may also send you e-mails at the e-mail address specified in your contact information, pertaining to your use of the Service, special offers or promotions, Terms and Conditions or other information relating to the Service or Mailers. You may choose to opt out of receiving special offers or promotions sent by us to your e-mail address by following these instructions: go to www.canadapost.ca/epost, log into your epost mailbox and click on "My Personal Profile". Select "No" for "Email Communications" and you will no longer receive any special offers or promotions from epost.ca
Disclaimer and Limitation of Our Liability to You
Although considerable care has been taken in preparing and maintaining the information and materials contained in the Service, they are provided on an "as is" and "as available" basis. The use of the Service is at your sole risk. To the fullest extent permissible pursuant to applicable law, we and the Canada Post Parties disclaim all warranties, expressed or implied, including, but not limited to, implied warranties of accuracy, merchantability and fitness for a particular purpose. Without limiting the generality of the foregoing, we and the Canada Post Parties shall have no responsibility or liability for any damages caused to computer systems, software or electronic files by computer viruses, "worms", "trojan horses" or other items or forces of an intrusive, disruptive or destructive nature.
We and the Canada Post Parties will not be responsible or liable for any delay, damage, loss or inconvenience you or any other person may incur in the event of unauthorized access to your epost mailbox or your personal information.
Inability to Access the Service
We and the Canada Post Parties will not be responsible or liable for any delay, damage, loss or inconvenience you or any other person may incur if you are unable to access the Service, do not receive your Mailpieces, or experience any delay in the processing of any transaction for any reason whatsoever (including without limitation due to any malfunction of the Service).
Any software that is made available on the Service for downloading (the "Software") is copyright work of us and/or our licensors. Use of the Software is governed by the terms of the license agreement, if any, which accompanies or is included with the Software ("License Agreement").
Such software is made available for downloading solely for use by end users according to the License Agreement. Any reproduction or redistribution of the Software not in accordance with the License Agreement is expressly prohibited by law, and may result in severe civil and criminal penalties. Violators will be prosecuted to the maximum extent possible.
We and the Canada Post Parties hereby disclaim all warranties and conditions with regard to such Software, including all implied warranties and conditions of merchantability, fitness for a particular purpose, title and non-infringement.
Links to Third Party Websites
The Service and some Mailpieces contain links to third party websites. In addition, some third party websites may contain links to this Service. The linked third party websites are not under our control and we and the Canada Post Parties are not responsible for the availability or contents of any linked third party website site or any link contained in a linked website, or any changes or updates to such websites including the ongoing availability of a linked Mailpiece. These links are provided to you only as a convenience, and the inclusion of any link is not an endorsement or approval by us or the Canada Post Parties of the linked website or anything contained within it. It is up to you to take precautions to ensure that whatever you select for your use is free of such items as viruses, bugs, problems or other limitations.
Presentment at Participating Financial Institutions
If (a) you are a customer of a Financial Institution and have registered with your Financial Institution to conduct online transactions; and (b) your Financial Institution has an entered into an agreement with us to enable a user to access his or her epost mailbox from the Financial Institution's website; and (c) the foregoing service is operational; then, while you are in your Financial Institution's online session, you will be able to connect your epost mailbox to your account at your Financial Institution by entering your Username and Password. Thereafter, while logged on to your Financial Institution in an online session, without having to login to your epost mailbox, you will be able to use some or all of the facilities of the Service as they have been integrated by your Financial Institution into their online service, including the ability to make payments from your bank account for the bills you have received in your epost mailbox.
In this regard, you hereby grant us your consent to disclose and transmit certain contents of your epost mailbox and other information to your Financial Institution's website. These Terms and Conditions will apply to your use of the Service while connected through your Financial Institution, in addition to any other applicable terms and conditions required by your Financial Institution or any other party. When you establish such connections to a Financial Institution these connections are in addition to, and do not replace, your rights to access your epost mailbox from the epost website.
When using the Service directly from the epost website, and not via a Financial Institution, you will be able to register for one or more of the Payment Methods offered by epost, and once accepted you will be able to make payments for the bills you receive in your epost mailbox through the Service. Any payments initiated by you will be subject to the terms and conditions associated with the Payment Method that you select in addition to these Terms and Conditions. You are solely responsible for ensuring that your Mailers receive all payments by you on time.
Without limiting the foregoing, we and the Canada Post Parties are not responsible to any party for late, misdirected or failed payments or attempts to pay, regardless of the cause (including, without limitation, failure or malfunction of the Service), or for any resulting fees, interest or other charges imposed by the Mailer, credit card issuer or other party.
General Disclaimer of Liability
WITHOUT LIMITING ANY OF THE FOREGOING, AND NOTWITHSTANDING ANYTHING ELSE IN THESE TERMS AND CONDITIONS, OR ANY OTHER COMMUNICATION OR DOCUMENT, WE AND THE CANADA POST PARTIES WILL NOT BE RESPONSIBLE FOR ANY DIRECT, INDIRECT, SPECIAL, INCIDENTAL OR CONSEQUENTIAL DAMAGES OR ANY OTHER DAMAGES WHATSOEVER, EVEN IF WE AND THE CANADA POST PARTIES ARE EXPRESSLY ADVISED OF THE POSSIBILITY OF SUCH DAMAGES, ARISING OUT OF OR IN CONNECTION WITH THE SERVICE, COMMUNICATIONS TO AND FROM US AND THE CANADA POST PARTIES , OR ANY SOFTWARE, INFORMATION OR DOCUMENTS CONTAINED IN OR ACCESSED VIA THE SERVICE, INCLUDING WITHOUT LIMITATION ANY LOSS OF USE, LOST DATA, LOST BUSINESS PROFITS, BUSINESS INTERRUPTION, PROPERTY DAMAGE, PERSONAL INJURY OR ANY OTHER LOSS, WHETHER THE ACTION IS IN CONTRACT, TORT (INCLUDING WITHOUT LIMITATION NEGLIGENCE) OR OTHERWISE.
Unless otherwise expressly agreed to in writing, the Service and all disputes or other matters arising out of it shall be governed by the laws of the Province of Ontario, Canada, without regard to conflict of law principles, and shall be dealt with solely by a court of competent jurisdiction in Toronto, Canada or such other location as the parties may agree.
The headings before each section in these Terms and Conditions are for convenience only, and do not affect the meaning of these Terms and Conditions.
Allocation of epost Username
Allocation to you and continued use by you of a Username and/or epost mailbox is entirely at our discretion. We may suspend or terminate your Username and/or epost mailbox, and/or your use of the Service at any time upon notice to you, including, without limitation, if we determine, in our sole discretion, that you have breached these Terms and Conditions.
Capacity Limits for Storage and Transmission
We reserve the right to set storage, transmission, Mailpiece size, and attachment limits for each epost mailbox.
You are solely responsible for maintaining your own record of activity using the Service, and for retaining all copies of Mailpieces and other relevant data. Any record retention services performed by us are solely at our discretion, will be for a maximum of seven (7) years, and may be discontinued by us at any time upon ninety (90) days notice to you.
We and the Canada Post Parties are not responsible for the content and layout of a Mailpiece. The Mailer of any Mailpiece is (a) solely responsible for the content of the Mailpiece(s) and any supplementary materials; and (b) solely responsible not to transmit or publish any information in a Mailpiece where such activity constitutes a criminal offence or is otherwise unlawful. Notwithstanding the foregoing, we reserve the right (although we do not assume the obligation) to decline services with respect to any Mailpiece brought to our attention that we determine, in our sole discretion, to be in breach of these Terms and Conditions, or to be otherwise objectionable.
The Electronic Postmark that epost applies to a Mailpiece verifies that the Mailpiece has not been tampered with. However, the integrity of a Mailpiece (or any part of one) that is provided by a link to an external website, or any attachments to a Mailpiece is not verified by a postmark. The absence of an Electronic Postmark is not an indication that the contents of the Mailpiece have been corrupted, but simply means that epost cannot verify the integrity of the Mailpiece since it is stored externally.
Once a Mailpiece is deposited into your epost mailbox you are responsible for ensuring it is read and acted upon in a timely manner, as dictated by agreements between you and the Mailer. If you will be unable to access your epost mailbox on a regular basis or for an extended period of time, it is your responsibility to notify your Mailers.
epost may scan Mailpieces and attachments for viruses and, if detected, we may delete and bring to your attention any suspicious content. We and the Canada Post Parties make no representations or warranties about the effectiveness of such scans. Without limiting the foregoing, you should protect yourself by using your own virus detection software.
Available Only Where Permitted by Law
The products and services described in this Service are only offered in jurisdictions (and to persons residing in those jurisdictions) where they may be legally offered for sale.
We May Change These Terms and Conditions
We may at any time modify or terminate the Service without notice. Without limiting the foregoing, we may change, terminate or assign these Terms and Conditions, or suspend or cease to offer the Service, immediately upon notice to you. We may also change any existing fees, or implement new fees for the Services or any component of the Services immediately upon notice to you. Without limiting the foregoing, continued use by you of the Service will constitute acceptance of any change or assignment by us of these Terms and Conditions, or any modification or suspension of the Service, or any change to or implementation of fees. Notice will be sent to you either (i) by physical mail, (ii) by electronic delivery to your epost mailbox (iii) verbally (iv) by posting a notice on the epost website or (v) by e-mail to the e-mail address you have provided.
Glossary of Terms
The terms below have the following corresponding meaning in these Terms and Conditions:
Means the secret question provided by you that only you know and that corresponds to your Authentication Answer. Your Authentication Question will be used to prompt you to provide your Authentication Answer when you have forgotten your password or to help our customer service representatives verify your identity to provide assistance.
Means the secret answer provided by you that only you know that corresponds to your Authentication Question. By providing your Authentication Answer when prompted by your Authentication Question you can be provided access to your epost mailbox when you have forgotten your password or can help our customer service representatives verify your identity to provide assistance.
"Business epost box or Business epost mailbox"
Means an epost mailboxe for which the registered User is a commercial or other organization, other than an individual.
means Canada Post Corporation.
"Canada Post Group of Companies"
means Canada Post and any company that is an affiliate of Canada Post, as "affiliate" is defined in the Canada Business Corporations Act.
"Canada Post Parties"
means the Canada Post Group of Companies, their contractors, agents and representatives, and all of their respective directors, officers and employees, or any combination of the foregoing.
The time/date stamp applied by us to a Mailpiece (excluding attachments, if any) when sent through the Service.
Means Canada Post or, if applicable, an affiliate of Canada Post carrying on business as epost.
"epost box"™ or "epost mailbox"
Means the electronic mail box into which epost delivers a User's Mailpieces.
means the world wide website at www.canadapost.ca/epost and/or www.postescanada.ca/postel, including the web pages it contains, but not including third party websites to which it may be linked.
Means any organization registered as a Mailer and approved by epost, that sends you Mailpieces using this service.
Means any single document, invoice, statement, letter, payroll notice, electronic form, or other type of correspondence or document sent through the Service. A Mailpiece does not include any document accessed through a link contained within the Mailpiece to a third party website.
Means the secret access code you use to access your epost mailbox.
means the payment method setup by you in accordance with epost's requirements, for you to remit funds to the Mailer as a payment, usually in relation to a Mailpiece that has been received from the Mailer.
means private information of an identifiable individual. Personal information does not include "business card" information such as your job title, telephone number or address, or anything that can be found through publicly available information such as the telephone book.
"Service" or "epost Service"
Means Canada Post's epost service as is represented by the functionality provided by Canada Post at any point in time, and as may be modified from time to time by Canada Post, including without limitation the epost website.
"Terms and Conditions"
means a user of the Service.
Means a User selected identity that uniquely identifies you within the Service.
"we", "us", "our", "We", "Us" and "Our"
refers to Canada Post.
"you", "your", "You" or "Your"
Refers to a User.
Certain names, graphics, logos, icons, designs, words, titles or phrases on this Service may constitute trade names, trademarks, official marks or other intellectual property (collectively, "Marks") of Canada Post Corporation, Mailers, or other entities. Marks may be registered in Canada and in other countries as applicable, and are otherwise protected according to all applicable laws. Any unauthorized use, reproduction, downloading, re-transmission or other copying or modification of Marks and/or the contents herein is strictly prohibited. Without limiting the foregoing: epost, epost box, Electronic Postmark, the "e." and "wing" design, are registered trademarks or trademarks of Canada Post Corporation, and are used under licence. The material on this Service is copyrighted and the images and information presented may not be reproduced or used, other than by using the facilities of the Service, without prior written permission by Canada Post.
To help ensure your privacy as a User, subject to what is legally required of us or unless you otherwise consent:
- We ask for the minimum amount of personal information we determine to be necessary to serve you effectively
- We do not sell any personal information about our Users to anyone
- We do not "datamine" for commercial purposes the personal information we collect
- We do not share any personal information about our Users to anyone except for personal information required in your normal use of the Service by organizations chosen by you (e.g., your Financial Institutions and Mailers)
- We conform to applicable privacy legislation.
- We will tell you why we need your personal information and what we will do with it
Why we ask for personal information
The information you provide when you register for your epost mailbox is used only for the following purposes:
- To identify you and to ensure that your mail gets to you quickly and securely. We need to know your name so that we can verify to your Mailers that you are the right person to receive their correspondence. The Username you choose does not have to match the name on your correspondence, and it is not revealed to unauthorized third parties without your consent. However, we may reveal your Username to your Mailers if required for diagnosing or responding to problems with delivery of your Mailpieces.
- As part of the verification process, to ensure you are the authorized recipient of a Mailpiece.
- To enable physical delivery of mail to you by Canada Post .
- To establish and maintain an efficient, responsible commercial relationship with you, and to provide ongoing service with minimal disruption.
- To better understand your needs and preferences, and to develop and bring to your attention products, services, features and special offers that we think may be of value to you.
- To ensure effective operation of the Service, we may need to collect on behalf of or share personal information within the Canada Post Group of Companies.
- We will not, as a general policy, disclose your personal information to an unaffiliated third party. However, we may do so in certain limited circumstances, in which case we will make sure that any third party is aware of the confidentiality and privacy obligations that apply to your personal information. These circumstances include:
- Specific circumstances as described above or elsewhere in the Terms and Conditions,
- Disclosure to an agent or contractor acting on our behalf, such as a professional advisor or service provider,
- Where we reasonably believe that disclosure may help to prevent commission of a crime, such as the theft of your identity, or
- In an emergency situation.
epost uses well-established technology to protect the security of your personal information and your mail.
Encryption is a way of "scrambling" electronic information for transmission. 128-bit encryption is the strongest, most secure form of encryption that is generally available in Internet browsers on the market in North America today. That's why we require all of our customers to use a browser that supports this level of encryption.
Most areas of the epost website require 128-bit encryption. Your browser may use symbols such as a key or a padlock icon to show you when you are in a secure area. For more information about the encryption capabilities of your browser, use the browser's HELP menu.
In general, if your browser's encryption level is not high enough, you will not be able to access the epost website.
A firewall is an "industrial-strength" combination of hardware and software designed to separate the Internet from our internal computer systems and databases. All Internet data flows through a series of safety checkpoints on its way to and from our internal systems so that only authorized messages and transactions enter our computing environment. These firewalls also help to prevent unauthorized access to our computer systems from outside.
The epost Service is a Web-based service. This means that all your mail and personal information are stored on our computers and viewed by you using a Web browser. Many e-mail services work by downloading messages to your computer via the Internet when you log in. By storing your data and messages on our servers, we keep the information securely behind our firewall. Please remember, any information that moves outside our secure website may not be secure.
A software virus is a computer file which, when installed (either from a disk or by downloading it via the Internet), can cause damage to a computer. Some viruses are relatively harmless and display annoying messages; others can seriously damage your computer and the information on it. If you choose to download any mail or files, you should be aware of the risk of viruses.
New viruses continue to be detected on the Internet. In particular, if you choose to access any software available through links from this website, please take reasonable and appropriate precautions to scan for computer viruses and ensure compatibility of the software with your specific computer system. You should also ensure that you have a complete and current backup of the information contained on your computer system prior to installing such software.
The epost Service uses two types of cookies: session cookies and persistent cookies. We don't use either type of cookie to collect any personal information.
Session cookies are only used for the length of time you stay on the web site. When you shut down your browser, they expire and are no longer active. A session cookie acts essentially as an identification card that is unique to you and can only be read by the server that gave it to you.
The epost web site uses session cookies to improve site navigation and to enhance your online experience by maintaining information from page to page. Session cookies are automatically deleted from your computer when you close your browser session.
Persistent cookies are more permanent and are used to track web site activity over a longer period. They can be re-read when you return to the web site that placed them on your computer and remain on your computer until you either choose to delete them or they expire.
The epost Service uses persistent cookies to recognize you and your computer when you return to our site. The Service can then customize your online experience by remembering key bits of information such as which official language you prefer to use.
Canada Post will not use any type of cookie to retrieve any information from your computer other than for the purposes set out above.
If you do not want cookies to be stored on your computer, you may set your browser to refuse all cookies. If you do so, you will not be able sign on and use the epost Service as cookies are essential to your epost session.
To change your browser settings to not allow cookies, go to the help portion of your browser's toolbar. You may also choose to have your browser notify you when your computer receives a new cookie.
Click stream data
Click stream data includes general log information (click stream) such as the full Uniform Resource Locator (URL) of the pages you accessed on the epost website and the Internet Protocol (IP) address used to connect your computer to the Internet. We collect click stream data in addition to referral and aggregated "click-through" statistics such as page views, unique visitors and time spent on the website. We do not use click stream data to collect any personal information.
A web beacon, also referred to as a clear gif or page tag, consists of code on the epost site that delivers a small graphic image from another website or third party server. They may not be visible as the beacon is generally a 1x1 pixel that is often designed to blend into the background of a web page.
We use beacons, often in conjunction with cookies, to monitor the effectiveness of ad banners and to understand certain actions that you took (such as adding a Mailer), but not to know who you are. We do not use beacons to store or link to personal information.
